Plotroom by Renyvu · Privacy notice
Your projects. Clear data handling.
Plotroom connects to Autodesk to publish models and deliver project outputs. This notice explains what we use, where it goes and how to contact us about your information.
Last updated
Plotroom does not receive or store your Autodesk password.
Selected files are processed to prepare exports. Completed outputs are uploaded to your chosen destination.
Ask about your information, request a correction or arrange removal of access.
Who we are
Plotroom is provided by RENYVU LIMITED, 24 Treetops, Hilside Road, Whyteleafe, Surrey, CR3 0BY, United Kingdom.
Renyvu is responsible for the account, support and service information described here. When your company uses Plotroom to process project content, your company determines the purpose of that processing and Renyvu processes the content on its behalf. Your company's privacy arrangements also apply to the project information it provides.
Information we use
- Account and connection details: your name, email, Autodesk user identifier, organization membership and authorization needed to connect to Autodesk. Protected connection credentials allow scheduled work to continue when your browser is closed.
- Project and delivery content: accessible hubs, projects, folders, model identifiers, filenames, model metadata, selected sheets and views, and files needed for publishing, viewing and PDF, DWG or IFC delivery.
- Work records: schedules, export settings, destinations, run status, delivery references and estimated usage. These support repeatable deliveries and help your team review results.
- Support and diagnostics: information you send us, error details and technical records such as request times, IP addresses and browser or service information used to investigate problems.
We receive this information from you, your company, Autodesk when you connect, and your use of Plotroom. Project files may contain personal information entered by your team; select only content you are authorized to process.
Cookies and browser storage
Plotroom uses essential cookies for sign-in and connection security, and browser storage for workspace preferences. Blocking these can prevent sign-in or stop preferences being remembered. Autodesk services, including the model viewer, are also subject to Autodesk's privacy notice.
Why we use it
We use information to provide the deliveries you request, run schedules, show results, control access and usage, provide support, and maintain service reliability and security.
For personal information for which Renyvu is responsible, our legal bases are performance of our agreement with you where applicable, legitimate interests in providing and protecting the service for our business customers, and compliance with legal obligations. If a separate activity requires consent, we ask for it and you can withdraw it.
Account and authorization details are needed for connected features. Without them, Plotroom cannot access your Autodesk projects. Scheduled publishing and exports automate project tasks; they do not make decisions about people with legal or similarly significant effects.
Where information goes
Autodesk provides sign-in, ACC/Autodesk Docs access, model viewing and translation. Your source models remain in ACC and completed deliveries are uploaded to the selected ACC folder. Read the Autodesk privacy statement.
Render hosts the Plotroom application and its operational PostgreSQL database in Frankfurt, Germany. Plotroom processes working copies of export and packaging files on its application host and may retain recovery exports. Its database holds account, connection and work records. Read the Render privacy policy.
Authorized Renyvu personnel and service providers supporting hosting, diagnostics and business communications may handle information where needed to operate or support Plotroom. Relevant delivery records may be visible to authorized colleagues in your Plotroom organization. We may also disclose information where required by law.
Hosting in Frankfurt does not mean every provider processes all information exclusively in the EU. Autodesk processing locations depend on its services and your account; provider support and business communications may involve other countries. Contact us for details of the providers, processing locations and applicable transfer arrangements for your company's use.
Protecting access
Autodesk authorization, access controls and protected server-side connection credentials support the service. Plotroom's public website uses HTTPS. Access also depends on the integration and project permissions configured by your company's Autodesk administrator.
How long we keep information
Retention depends on the type of information and its purpose. We consider active accounts and schedules, delivery recovery, support investigations, security, contractual obligations and legal requirements when deciding what must be kept.
- Project files and completed deliveries in ACC: your company's Autodesk settings and policies govern their retention. Closing a Plotroom account does not delete these files.
- Working and recovery files: kept for processing, retry and recovery needs. Ask us about cleanup or deletion for a specific delivery.
- Account, connection and work records: retained while needed for the service and the purposes above. Revoking a connection stops future authorized access but does not automatically erase existing run history.
- Backups: deleted information may remain in provider backups until those backups expire under the applicable backup schedule.
Contact us to request deletion or confirm the retention arrangements for your organization. We review the request, any shared project records and applicable obligations before removing information.
Your choices and rights
You can pause schedules in Plotroom. Your Autodesk administrator can manage integration and project access. Contact us if you need help disconnecting an account or removing Plotroom access; signing out alone does not cancel scheduled work.
Depending on the laws that apply, you may request access to, correction of, deletion of or a portable copy of your personal information, and ask us to restrict its use. You may object to processing based on our legitimate interests. You can also withdraw consent for processing that relies on consent.
Send requests to the contact below. We may need to verify your identity and coordinate with your company where it controls the information. We respond within the applicable legal timeframe and explain any exception that affects your request. You may complain to the UK Information Commissioner's Office or your local data-protection authority.
